The Financial Assistant hired by us, will work at U.S. Attorney’s Office, at 10 West Market Street, Suite 2100, Indianapolis, Indiana 46204. Pay will be based on experience and skill set. Please indicate your wage requirement when applying. You will report to work 8:30a.m. to 5:00p.m., Monday through Friday, except Federal holidays and Office closures. This position will require an extensive federal background check that could take 4-6 weeks.

A Financial Assistant for our team at this client location will be asked to represent Diverse Staffing to perform the following responsibilities:

  • Maintains a variety of fiscal information, files and records (e.g. invoices, requisitions, accounts payable, purchase orders, etc.)  for the purpose of ensuring comprehensive and accurate data compliance with prescribed accounting  systems  and generally  accepted principles  of accounting.

  • Performs record keeping and general clerical functions (e.g. copying, faxing, etc.) for the purpose of supporting departmental/program operations.

  • Processes a variety of fiscal information (e.g. billings, purchase orders, work orders, etc.)  for the purpose of updating  information, completing financial transactions, ensuring  timely  and accurate  submissions, and/or  ensuring compliance  with accounting  requirements.

  • Reviews bills for discrepancy and adherence to the prompt payment act and submits to Budget Officer for approval.

  • Researches financial information and/or documentation (e.g. order discrepancies, requisitions, policies, etc.) for the purpose of ensuring adherence to procedures  prior to processing  payments.

  • Responds to inquiries, including phone, walk-ins (e.g. district staff, vendors, district and site personnel and other contractors) for the purpose of resolving issues.     Provides requested information and/or referring to appropriate department personnel.

  • Reviews travel authorizations and vouchers to ensure adherence to the Federal Travel Regulation. Prepares travel authorizations and vouchers as needed.

  • Receives visitors and telephone callers. Furnishes requested information concerning pending and closed matters and cases, functions and general procedures of the office. Determines which matters should be referred to the AUSA and the urgency of the matter.

  • Establishes and maintains a variety of financial files.   Separates, screens, selects, assembles, and organizes files and records material for disposition or transfer to records depository in accordance with established procedures.

  • Produces a variety of written documents and materials utilizing a wide range of office software applications. For example, assignments may include integrating output from different software types produced by database applications and charts and graphs produced by electronic spreadsheet applications, into word processing or desk top publishing text.

  • Assists other personnel as may be required to ensure an efficient and effective work environment.

  • Performs other related duties as assigned.

Job Requirements

US Citizen who has lived in the U.S. three out of the last five years

  • Pass a criminal background and credit check

  • High school diploma

  • Knowledge of the federal government's Federal Travel Regulation, Title 5, CFR 1315 (Prompt Payment Act) and the federal government's accounts payable processes.

  • Possess clerical and administrative office skills utilizing Microsoft Office with an emphasis in Microsoft Excel.
