Diverse Staffing is currently seeking  Administrative Assistants for a contract position with one of our customers, Elanco, a leading animal health company headquartered in Greenfield, IN. The work site for this assignment is in Fort Dodge, IA at an Elanco facility. 

The Administrative Assistant will provide communication management, schedule management, office management and other supportive duties relative to the department area in which they are assigned. Performing general administrative tasks, such as faxing, photocopying, and filing. Creating first-draft documents from rough, sketchy information or in response to requests. Preparing basic form letters and other correspondence sent on a regular basis. Editing and proofreading documents for content, style, and accuracy (including technical and/or scientific materials). Compiling data and preparing presentations from handwritten notes using appropriate software packages. Utilize communication systems such as voice mail, e-mail, distribution lists, etc. Answering phones and directing incoming requests and faxes to the appropriate personnel; initiating contacts as required. Preparing materials for distribution and presentation at meetings (make labels, assemble inters, etc.) Handling e-mail and voice mail responses on an as-needed basis for the business partner(s). Maintaining the daily calendars of one or more department members adding and deleting entries, updating availability, authorizing changes to dates and locations, etc. Communicating on a daily basis with the business partner to keep him/her informed of the department or other important activities. Arranging travel and scheduling requests for key department members' attendance at outside functions and/or activities. Scheduling ad hoc and/or recurring meetings. The role may require individual to enter/maintain databases, records, and spreadsheets.

The day-to-day responsibilities you can expect in this position are as follows:

• Schedule, prioritize and organize the leaders’ daily calendars and ensure they are adequately prepared for each day’s activities 
• Assist team members in scheduling large or complex meetings 
• Arrange travel 
• Maintain the highest level of confidentiality of all information 
• Organize regular staff meetings, including coordination with speakers 
• Order supplies, assist with copier/fax and ensure facilities needs are met 
• Manage various group lists, organizational charts, and collaboration sites 
• Proactively prepare for new employee onboarding by scheduling 1:1s, obtaining technology etc. 
• Tracking and follow up on executive referrals 
• Project Support: support various departmental project needs

This position will pay $14.00 to $18.00 per hour.

Job Requirements

• Experience in or demonstrated ability to learn Outlook, PowerPoint, Excel 
• 1 - 3 years Administrative Assistant experience 
• Excellent communication, administration, interpersonal and organizational skills 
• Excellent attention to detail and accuracy 
• Adaptable to rapid changes in priorities and tight deadlines 
• Ability to maintain strict confidentiality 
• Ability to manage and prioritize several different projects at the same time
